Session Chair Instructions, APIEMS 2016

To: All individuals who have accepted a session chair role for APIEMS 2016

Paper Session Description

  • Each session is composed of at least one author per paper, a session chair, and other audience. Often times, the session chair is also one of the presenting author.
  • Session is 75 or 90 minutes long. Please see the details in Program Book.
  • Each presenting author will have 13 minutes for their presentation and 2 minutes for Q&A, determined by number of presentations in the session (4 to 6 at maximum). The remaining time will be used for discussion.
  • Each session room will have a Laptop and a LCD projector available.

 

Chief Responsibilities of the Session Chair

1) Preparing for the Session:

  • Contact the presenters in advance to ensure that they are all set for their presentations.
  • Discuss the session structure and time usage with presenters well in advance.
  • Sessions may have anywhere between 4 to 6 papers.

2) During the Session:

  • Create an informal first-name atmosphere in the session to encourage discussion.
  • Tell the presenters the rules before the session starts and control the time and to ensure that there is time at the end of the session for discussion with the audience, it is important that the allotted presentation time is not exceeded.
  • Remember that each session may have anywhere between 4 to 6 papers and it is your job to allocate the necessary amount of time to each presenter and leave some time for discussion at the end.
  • If possible start out with a few words about the subject matter of the session and how each paper will contribute toward exploring that research domain.
